Electronic Services Committee

Mission

The Electronic Services Committee is responsible for leading digital transformation efforts within the Education and Student Affairs sector by strategically planning and implementing technological projects aimed at enhancing the efficiency of academic and administrative processes and ensuring the sustainability of electronic services provided to all beneficiaries.

Strategic Priorities of the Committee

  1. To implement complete digital automation of the administrative workflow related to student requests (withdrawals, excuses, and equivalencies).
  2. To oversee the development and deployment of applications targeted at students and staff members (scheduling applications, room reservations, academic advising, and monitoring of semester grades).
  3. To develop digital workflows for managing announcements and media content on the website.

Axis One: Responsibilities for Academic Digital Transformation

This axis is responsible for the technical oversight of the digital learning environment and ensuring the technical integration that supports the educational process and academic records.

Technical Responsibilities

Management of the Digital Learning Environment (LMS)

Monitoring and ensuring the effective technical operation of the adopted Learning Management System (SharePoint/Teams), acting as a technical coordination body between users and the IT Department regarding technical support and updates.

Development of Academic Applications

Overseeing the technical aspects of designing, developing, and deploying service applications aimed at students and staff, specifically: class scheduling application, room reservation application, academic advising application, and proctor assignment application.

Availability of Digital Resources

Ensuring secure and continuous technical access to academic databases, primarily the Egyptian Knowledge Bank.

Data Integrity

Establishing and implementing the necessary technical standards and protocols to ensure the accuracy and integrity of entered academic data, overseeing the mechanisms for extracting and analyzing data to support decision-making, including developing dashboards using Power BI.

Axis Two: Responsibilities for Administrative Digital Transformation

This axis focuses on digitizing administrative procedures and enhancing the efficiency of services provided to students (top priority).

Technical Responsibilities for Workflow and Procedures

Digitization of Administrative Workflow

Designing, building, and maintaining a comprehensive digital workflow for major student requests, such as requests for incompletes, withdrawals, excuses, and equivalencies, using Power Platform tools (Power Automate and Power Apps) to ensure complete automation.

Development of Electronic Forms

Creating intelligent and secure electronic forms for data collection, ensuring they are technically secured to initiate workflows automatically upon submission.

Digital Security and Archiving

Establishing technical controls for secure digital archiving of completed request records, adhering to data protection policies and student privacy.

Axis Three: Responsibilities for Electronic Affairs and Infrastructure

These responsibilities focus on establishing the technical foundations and standards governing all electronic services within the sector.

  • Governance and Technical Standards: Defining and approving the technical specifications and standards necessary for all new systems and applications to ensure compatibility and operability with the existing digital infrastructure.
  • Information Security and Compliance: Working in coordination with the Central IT Department to ensure the highest levels of cybersecurity and compliance with national and international regulations regarding student and academic data.
  • Monitoring Student Access: Coordinating technical procedures with the IT Department regarding the creation and management of electronic access accounts for students and staff for all digital platforms and services.
  • Technical Training and Documentation: Identifying the technical training needs required for sector personnel to handle new digital systems, and preparing technical documentation for operational and maintenance procedures.

Axis Four: Responsibilities for Digital Media and Website

This axis is responsible for organizing the technical aspects of the digital and media presence of the sector.

  • Technical Management of Electronic Content: Defining the technical structure for the sections of the website related to Education and Student Affairs, setting publication permissions, and ensuring compliance with technical standards for performance quality and compatibility with various device browsers.
  • Workflow for Digital Announcements: Designing and implementing digital workflows using (M365) to manage the lifecycle of digital announcements and news from preparation to publication across approved platforms.
  • Accessibility and Content Optimization (SEO): Enforcing the application of technical standards for accessibility to electronic content and ensuring that all pages comply with search engine optimization (SEO) guidelines.
  • Integration of Digital Channels: Overseeing the technical integration between the official website and other digital media channels to ensure unified and simultaneous dissemination of information.
